International Student Coordinator, Intern/Trainee Programs
Location: Portland, Maine

​Located in the Old Port neighborhood of Portland, Maine, Pan Atlantic Exchanges is a mission-driven, international exchange organization that provides educational and training opportunities to young people from all over the world. Designated by the US Department of State as a J-1 visa sponsor since 1984, we have enjoyed providing career training, and educational opportunities for international high school and university students, recent graduates, and professionals in the US. Pan Atlantic performs the mission of public diplomacy while transforming the lives of international students and graduates who come to the United States to learn and benefit from the exchange of ideas and culture.
Summary of Position:
Our Internship and Trainee Program enables students and young professionals from around the world to experience structured training programs at host organizations across the United States. The International Student Coordinator is responsible for managing the application process and providing administrative support to program applicants. They will work with overseas partners, host organizations, and other exchange stakeholders to ensure appropriate development and execution of the program, in full compliance with U.S. Department of State J-1 visa regulations. They will provide ongoing support to program participants while in the United States
Responsibilities of the Position:
  • Maintain complete and accurate records of all documentation related to J-1 visa program applicants, host companies, and overseas partners.
  • Manage the application pipeline to ensure efficient processing, accurately and within the agreed turnaround time. Assist in the management of partner relationships.
  • Assess the eligibility of candidates, host companies, and training plans to ensure program regulations are met.
  • Invoice and track program payments.
  • Accurately enter all participant details and documentation into CRM and State Department database (SEVIS).
  • Follow up on any outstanding documents throughout the duration of participants’ US stay.
  • Conduct phone and web-based screenings with prospective program participants, US-based companies and other exchange stakeholders.
  • Provide ongoing support via phone and email to troubleshoot any issues that may arise for program participants and/or hosts.
  • Special projects and other duties as assigned.
 
Skills and Experience
• 1-3 years of administrative/account management experience, or bachelor’s degree.
• Exceptional organizational ability and attention to detail.
• Excellent verbal and written communication skills.
• Ability to work independently and within deadlines.
• Ability to take initiative and be flexible.
• Experience with databases and other technology including Skype, CRM software, Microsoft Word, Excel and Outlook preferred.
• Problem-solving personalities welcome.
• Comfort communicating with non-native English speakers.
 
Due to federal regulations, a background check will be conducted as a condition of employment.
 
Because we work with clients from all over the world, flexible hours may be possible. Pan Atlantic currently allows for remote work, 2 days per week.
